How to submit a tournament in MUIR with a house player

I have a question about submitting a tournament with a house player.

I had a no-show in the first round and an odd number of players then. A boy had brought a friend to see what a tournament is like and maybe convince the friend to join the USCF. I recruited him as a house player so we had an even number; he won round 2 and lost round 3. I found the checkbox in MUIR to mark that he’s a house player, and I put in a remark about why he qualifies, but the system won’t let me submit the results. It’s complaining that he doesn’t have a memberID — but he’s not a member so of course he doesn’t. And I’m stuck.

Every player in a rated event must have an ID, you need to get one assigned to that player as a non-member.

That feels like maybe a 40-60 chance I can do that, especially since I have to track down contact info first and then he doesn’t know me but I have to persuade him to get an ID and he’s just a boy.

If I’m unsuccessful, what’s the alternative? Just pretend the person he beat had a 0-point bye in round 2 and the person who beat him had a 1-point bye in round 3?

Well, you should have gotten either an ID or enough information to generate an ID before allowing that person to play in your event as a house player, but it’s a bit late for that now.

I’d probably ignore the house player game and rate the rest of the event for now, then work on getting enough information to create an ID for your house player and submit that to the ratings department as a correction to your event.

A house player does not need to be a current or former member, but does need to have an ID on MUIR, which means we need a name, some address information, a birhdate and gender information, at a minimum.

This document may be little out of date, though it was updated to note that the house player must have a member ID on the MUIR system.

I think detailed instructions on how to create member IDs (for house players, foreign titled players or any other membership-exempt situations) are being worked on. There may be an instructional video available.

There is a difference between having a paid membership and having a member ID. Create a non-paid member ID for the kid and then use that as a house player. You would still need contact info.

Thank you all. This is the first time I’ve used a house player, and it was kind of a sudden inspiration in the minutes between the two rounds.

Jeff. . .If a regular USCF member is used as a House Player, is there any reason to claim him as the House Player by selecting the House Player choice in the MUIR tournament report?

And if the House Player choice is selected, will the games of the House Player be rated by the USCF Ratings Team?

All the ‘house player’ button does is override membership issues for that ID, it does not impact the ratability of that game (which, like all played games, is ratable.)

Thus if the house player is a current member, there’s no real reason to click on ‘house player’

I am still struggling with the system.

The house player registered and got a USCF ID. I’ve tried to find a way to update the record and add the ID, and I finally had to give up. What was I missing? Instead, I deleted the tournament, went all the way back to WinTD, added the ID number, and regenerated the DBF files. I’ve recreated the tournament, but it still won’t validate my house player. I’ve searched for the ID in the portal, and I see his record. But the system still complains about my validation.

I don’t know what I’m doing wrong here.

Sometimes the validation report can be a little cryptic.

Are you positive the issue with validation is the us chess id# (membership) with the player in question.

It also checks Tds safe play, affiliate memebrship, section type ect.. and those dont always show in the validation report, but rather show as a colored warning on the left and when you view the section details or director details it gives a more detailed example of the issue

I don’t think so … the revalidation looks very clear that it’s complaining about my house player:

And when I review the games, it directly complains that my house player isn’t a member.

And I know he’s not a member. That’s why I have him marked as a house player. And I don’t know what else is blocking me.

Can the error message be bypassed if you enter the house player by his name as opposed to entering him by his ID number?

I imported the results from WinTD and then I edited the player and marked him as a house player on the website. (I’ll go back and look but I don’t remember an option in WinTD to designated a house player.)

You’re not suggesting that tournaments with house players can only be entered manually, are you?

No that’s probably not the way it’s intended to work. I was just suggesting it as a possible workaround to the problem.

I appreciate your advice. For now, I think I’m still stuck, though.

Are you sure you do not have a duplicate ID# issue?

I would recommend emailing membership and inquire if they are the same and need to be merged.

You just want to make sure that this Alexander Rex Williams is not the same as your Alexander Rex Williams.

I would recommend emailing membership@uschess.org and inquire if they are the same person, if so they should likely be merged to one number probably keeping #17066688

I do not know if it is the same person, but it is the same name and the same state.

Thank you for your tips. I texted the boy and found out that this really is the same boy; he was in these tournaments five years ago. I swapped out the ID number in the tournament info and was able to submit it.
